How to sync your calendar in SharpSpring
For SharpSpring users – get contacts to book a meeting with you directly in your Online Calendar, at a time that works best for them.
This feature makes it easy to add a calendar booking link on your website and to streamline your customer meetings, all within one application.
Step 1: Access the ‘Meetings’ tab
- Open up your SharpSpring app.
- In the dropdown menu click >> Meetings.
Step 2: Get started
- The following window will open.
- Click >> Get started.
Step 3: Connect your calendar
- A window will open requesting you to connect your calendar.
- Select the calendar service you use.
Step 4: Connecting a Google or Office 365 calendar
- Note – we are using Google in this example.
- To set up Office 365, scroll to Step 8 below.
- A window will open for approval.
Step 5: Choose your account
- Select the email account you are using for your calendar >> click Allow.
Step 6: Confirm your choice
- Click Allow.
- The calendar will now be linked to SharpSpring >> the window for setting your availability will open.
- Click on a day and time to set up at least one meeting time.
- Now set one availability time slot – it can be changed later on.
- Click Next.
Step 7: Set your meeting settings
- Your meeting functionality will now be made ready for you to set up in the way you want your booking system to work.
- Complete the info in the text boxes and select the duration etc. You can alter this information any time later on.
- A sample of your availability calendar will appear on the right.
- At the top right >> next to the Finish button >> click the 3 dots or hamburger button. Here you can preview the page, copy the link, or copy the button for insertion to a web page or email signature etc.
- Click Finish.
- Set-up success displays. You will be returned to the Meetings window.
- To finish setting up your calendar Availability >> click the pencil next to ‘Account’ top left.
- Your calendar availability window will open. Complete your SharpSpring calendar settings and click >> Save.
- To get back to the previous page, click the 3-dot hamburger button on the right of the word ‘Conversion’ >> on the dropdown click Edit >> and you will be taken back to the set up of your meeting details, duration, buffer times etc.
- The basic calendar setup is complete.
Step 8: Connecting Office 365 Accounts
To connect a Microsoft Office 365 account to Meetings, do the following:
- Click Sales >> Meetings in SharpSpring’s top toolbar.
- Click Get Started.
- Click Sign in with Office 365.
- Sign in with the desired Microsoft account.
- Select the desired calendar from the Select Primary Calendar drop-down menu.
- Select additional calendars to use in the Sync Other Calendars text field.
- Click the desired weekday the Select General Availability calendar.
- Click-and-drag the time block to the desired start time.
- Drag the menu’s = Length setting to the desired starting and ending times for the time block.
- Click Finish.
Once connected, you will need to create a meeting to serve as your primary meeting.
How to add your personal avatar to your calendar
An avatar is an image that represents you and is usually a professional headshot photo. The avatar is associated with the email account you use and will display wherever you use that email address. The advantage of an avatar is that it can be used across the web, helping your contacts to identify you before meeting with you.How to add your personal avatar to your calendar
- You can set this up on http://en.gravatar.com/ which is a free WordPress owned service.
- Before you start make sure you have the photo you want to use on your desktop.
- Decide which email account you will use for your calendar (must be an IMAP online email account/address).
- Go to http://en.gravatar.com/ and click the “Create Your Own Gravatar” to set up your own account.
- Once you have set up your account, a window will open. At the top right, click the icon (see image).
- A new window will open. You can upload the image/photo you are using and also insert your name. Click save.
- Once you have set up gravatar, the email account you have used will display the avatar across the web wherever you use your email address.
- Your calendar in SharpSpring will also pick up the avatar and display it in your Book a Meeting feature.
